Travel Arrangements

Flights and insurance.

Flights

If you are responsible for purchasing your plane ticket, it may be a good idea to start looking at flights right away. Although it is sometimes possible to find last-minute deals, relying on this can be risky—especially if you have a fixed start date for your placement! If cost is a constraint, consider a flight with multiple connections, long layovers or less desirable departure/arrival times as these can sometimes be significantly cheaper.

Entry into some countries is contingent on proof of a return ticket. Customs officials may not ask you to show this, but it’s important to be aware of the requirements and plan accordingly. You might consider purchasing a ticket that can be changed without too much hassle if you think your travel plans may change once you are abroad.

Insurance

Navigating different insurance options can be confusing at the best of times. Travellers often purchase insurance for peace of mind, protection in case of something unexpected and to protect their financial investment in the trip.

You can purchase travel insurance through your travel provider, an insurance broker or your employer’s insurance provider. Your credit card may even provide certain coverage. Shop around to compare prices and details. Whichever provider and policy you choose, be sure that you read the fine print carefully, including terms and conditions, limitations, restrictions and exclusions.

Below is a brief overview of the different types of insurance you should consider. Some providers may offer packages that include one or more types of coverage, which is sometimes referred to as ‘Comprehensive Travel Insurance’.

Types of Travel Insurance

Trip Cancellation/Interruption Insurance
This is fairly standard travel insurance and is a good idea, especially if you are purchasing an expensive plane ticket. Plans may vary though it will usually cover you if you have an approved illness or emergency and need to cancel or change your flight, or if the airline goes out of business. Many credit cards offer this type of insurance if you purchase your flight with them. Read the fine print carefully and compare plans to make sure you have adequate coverage.

Flight Delay and Lost Baggage and Document Replacement Insurance
If your flight is delayed or cancelled due to inclement weather, most airlines are not obligated to provide you with compensation. This type of policy covers hotels, meals and other unexpected expenses associated with a delayed or rescheduled flight.

Coverage for lost or delayed baggage is also often included. This is usually in addition to what airlines provide, so be sure it’s necessary. Replacement of important documents may also be included or added-on for an additional premium.

Travel Health Insurance
Travel health or travel medical insurance is a necessity when volunteering abroad. Accident or illness may strike anytime and you could be left with enormous medical bills. In Canada, most provincial or employer health plans provide little to no coverage outside the country. Medicare and Medicaid in the US also provide minimal coverage. US employer health plans may have some benefits and should be consulted to determine what supplemental insurance is required. This type of policy typically covers medical expenses such as hospitalizations, emergency room fees, ambulance costs, prescription drugs while in the hospital and other medical related expenses.

Depending on the policy, it may also pay for emergency medical transport costs to your home country for further care and travel costs of family members to be with you. This is usually referred to as medical evacuation insurance.

Some people may opt to add accidental death and dismemberment (AD&D) insurance, which acts as a life insurance policy for the duration of your trip.

Health Insurance at Home
Be sure to contact your current health insurance plan(s) at home to let them know you will be leaving the country for a specified amount of time. If you are going abroad for longer than six months, it may affect your coverage when you return. Check in advance and let the insurance provider know that you will be away volunteering abroad (they may ask for a confirmation letter) as this could help your situation.
